About the Role

WHY WE ARE HIRING Public Practice is building a new movement to rediscover the potential of public planning and rethink the role of built environment expertise within local government. In just under two years since being founded, we have supported public authorities across London and the wider South East embed new skills into Authorities and helped promote the role of public planners more widely. The momentum we have generated means we are growing our team and exploring promising opportunities to expand our reach and impact. At this exciting time for the organisation, we are looking to appoint a Programme Coordinator to help develop and manage the systems needed to run our innovative programme that places diverse built environment practitioners within public sector organisations. THE ROLE Public Practice’s placement programme is at the core of what we do, and we want it to be at the forefront of practice in recruitment and resourcing. As our Programme Coordinator, you will join our small team and play a vital role in helping to develop and deliver it. You will be responsible for coordinating the programme from end-to-end, including recruitment, onboarding, support in placements, and offboarding data collection. Your work will include managing all the back-end systems required to process the large amount of information that each placement campaign collects, as well as communicating and coordinating within our team, applicants, our expert assessors and other external suppliers.

What You're Gonna Do

- LEAD OUR RECRUITMENT CAMPAIGN: You will be responsible for the design and delivery of an industry-leading recruitment process - managing our marketing materials, systems for receiving applications and ensuring great communication with prospective candidates. - MANAGE APPLICATION DATA & ASSESSMENT : Coordinating between our expert assessors and our online applicant management software, you will ensure that the assessment of all applications is fair, transparent and timely, and placement data is appropriately captured and managed. - DELIVER OUR PLACEMENT WORKSHOPS: You will lead on the production of this complex event that sees applicants and assessors come together and undertake a number of exercises. You will ensure all materials are prepared, attendees confirmed and that the whole day runs smoothly. - COORDINATE THE ONBOARDING PROCESS: You will be responsible for ensuring the onboarding process works well for Authorities and Associates. You will help prepare materials to secure placements, issue agreements, help plan the induction days, and ensure everything is in place in time for the placement start date. - IN-PLACEMENT AND OFFBOARDING SUPPORT: During the placements, you will help to keep our systems up-to-date, support the team to deliver regular check-ins, and make sure that the overall experience of our Associates and Authority hosts remains high and constantly capturing feedback. - HELP SHAPE OUR PROCESSES & SYSTEMS: You’ll work collaboratively with the team to come up with ideas and strategies for ways to improve how we recruit, from finding efficiencies to regularly reviewing our diversity data to make sure we are leading the way in best practice in our recruitment processes.

About You

We are looking for someone who is an excellent administrator, enjoys systems, service design, processes and data and who is looking to expand their experiences with people, operations and project management. The position would suit someone who has some experience in office administration, project management, event production, and data processing. This is a great opportunity for someone who wants to get involved in a fast-moving organisation and who will relish the opportunity to improve systems, processes and help us deliver best-practice recruitment experiences. Key skills and attributes: - Self-starter, resourceful and shows good initiative - Highly organised and reliable - Intelligent administrator always looking to improve ways of doing - Incredible attention to detail - Enthusiasm for people and encouraging diversity - Confident finding their way around a complex spreadsheet All candidates are required to: - Have the right to work in the UK - Completed 3 A-levels at grades A-C (or equivalent) - Have some form of previous office administration experience

What We Offer

HOURS: Ideally full time (5 days per week) SALARY: £28,000 - £32,000 pro-rata (based on experience) START DATE: 12 September 2019 (subject to notice period) LENGTH: Initial Fixed term 12 months with the opportunity to progress to a permanent role within the year HOLIDAY ALLOWANCE: 30 days holiday pro-rata (excl. public holidays) LOCATION:Urban Innovation Centre, 1 Sekforde St, London EC1R 0BE Public Practice is a young not-for-profit with strong leadership and a high profile Board chaired by Jules Pipe, Deputy Mayor of London. We are based in a great office in the Urban Innovation Centre in Clerkenwell, in the heart of London. We provide 30 days holiday per-annum (FTE) exclusive of bank holidays and to support wellbeing and inclusivity, we encourage flexible working. All employees work around core hours of 9:30am - 4:30pm and are also encouraged to work from home one day a week. We provide a 4% employer’s pension contribution, a healthy staff training budget and a supportive team environment with regular social team gatherings and events.
